BusinessEasy is operated by BusinessEasy Accounting Firm, an accounting and business services provider based in Finland, serving gig-economy workers such as delivery riders and taxi drivers, restaurants, cleaning businesses, and small limited liability companies. What data we collect

Identity and contact details such as your name, email address, phone number, and where applicable your Business ID or VAT number. Financial and bookkeeping records, including income and expense entries, invoices, receipts, and supporting documents you provide for bookkeeping and VAT purposes. Documents you send us through the website, or by email or WhatsApp, so we can process them into your bookkeeping records. Basic account and usage data, such as login activity, needed to operate the website securely.

How documents reach us

To make it easy for clients to send receipts and documents, we support a few intake channels, each limited to only what it needs. Google Drive: read-only access to a folder you share with us, used solely to collect receipts and documents you place there for bookkeeping. Gmail: read-only access limited to identifying and retrieving messages and attachments that contain receipts or business documents you send us, for automatic bookkeeping entry. We do not read unrelated personal email, and we never send email from your account. WhatsApp Business: documents and messages you send to our business WhatsApp number, used to collect receipts and to send you service notifications such as account activation.

Documents received this way may be processed by an automated extraction step, including optical character recognition, to help draft bookkeeping entries. High-confidence automated entries and any entry we are not confident about are both logged for review, so nothing is silently discarded.

Why we process your data

We process personal and financial data to deliver the accounting services you engage us for, including bookkeeping, invoicing, and VAT preparation and filing support, to meet our own legal and record-keeping obligations as an accounting firm under Finnish law, and to communicate with you about your account and services.

How we protect and store data

Data is stored in access-controlled cloud infrastructure and encrypted in transit. Access to client financial records is restricted to authorized staff performing bookkeeping work, and write actions on your records are logged. We do not sell your personal data, and we do not share it with third parties except the service providers that host and run our systems, and Finnish tax authorities where required to file returns on your behalf.

Your rights

Under the EU General Data Protection Regulation, you have the right to access, correct, or request deletion of your personal data, subject to our legal obligation to retain accounting records for the period required by Finnish law, to object to or restrict certain processing, and to receive a copy of your data in a portable format. You may also lodge a complaint with the Office of the Data Protection Ombudsman in Finland. To exercise any of these rights, contact us at info@business-easy.com.
